Diamond Media Management: Upload, Connect, Manage, & Guidelines

A complete guide to uploading, connecting, and managing gemstone media files, including rules, best practices, and media status checks

You can upload images to RapNet’s Diamond Media Library using any of the following methods:

  1. Single Uploads: Upload images individually to the Media Library or Diamond Item page

  2. Zip Folder: Upload multiple images at once by compressing them into a zip file.

  3. CSV File: Provide image links in a CSV file with filenames suffixed as .png or .jpg.

  4. FTP: Use FTP to upload images directly to the media library

  • For optimal quality, we recommend square images with a minimum resolution of 1280 x 1280.

  • Image Filenames that match stock or certificate numbers will auto-connect to the diamonds.

  • This article explains how to link unmatched images in the media library to a diamond/s.

Upload Media to the Diamond Media Library

Single Media Uploads

  1. Media Library:

    1. Navigate to Manage My Diamonds> Media Library

    2. Click ‘Upload New Media’: Upload New Media: Drag and Drop or Browse media images.

  2. Item Page: Adding Images or Videos to a Single Diamond from the Item

    1. Images

      1. Go to Manage My Diamonds > find the diamond > open the item page.

      2. Click Manage Media > Add Media.

      3. Select an image from the Media Library or upload it from your local files.

      4. The image will appear on the item page. Click Done.

    2. Video

      1. Go to Manage My Diamonds > find the diamond > open the item page.

      2. Scroll down to Video Link: Copy and paste your video URL

      3. Save


Upload Multiple Image Links with CSV File

  1. Navigate to Manage My Diamonds> Media Library

  2. Click ‘Upload New Media’: Upload CSV with Image Links

    1. Prepare a CSV file with image links ending in .jpg or .png.

      • Note: The links must start with https:// (not http://).

    1. The CSV should have a single column for links (no header required).

    2. Upload the CSV file to your Media Library.

    3. Images will automatically save.

  3. Complete the Upload: After a CSV upload, RapNet will email you a report with the status of each uploaded link.


Upload Images via FTP

FTP (File Transfer Protocol) is a secure method for transferring image files directly from one computer to another. We recommend using FTP when uploading multiple images to RapNet’s Media Library.

Navigate the Diamond Media Library

Once you’ve uploaded media, you can view and manage it in the library. Here’s how you can organize and sort your files:

  1. Search for Media Files: Type in the gemstone filename to locate the media you need.

  2. Show Media:

    1. All Media: This shows all uploaded media files, whether they are connected or disconnected from a gemstone.

    2. Connected Media: Displays media that is already linked to a gemstone listing.

    3. Disconnected Media: Displays media that is uploaded but not yet linked to any gemstone.

  3. Actions: Once you’ve located your media files in the library, you can perform several actions to manage them, including connecting or disconnecting media, deleting files, or clearing the entire library.

  4. Table v List View

    1. Table View: Provides a grid layout of all media with detailed columns, such as media type, file name, gemstone stock number, and status (connected or disconnected).

    2. List View: Offers a simple, streamlined view of your media files, displaying basic information like the media type and current status.

  5. Upload New Media: Refer to Upload New Media above


Connect Media to Diamonds

Once your media files are uploaded, you can manually connect them to a diamond/s. If the file name matches the diamond's stock or report number, the image will automatically connect. Here’s how to manually connect media files:

  1. Select the Media File: Locate the image you want to connect. Refer above to Navigate Media Library for guidance.

  2. Click 'Connect to Item':

    1. Select the “Connect” button

    2. Type in the Lot # or Stock # > Search Item > Connect Media

Media Auto Connection to Gemstone

Auto-connect Feature: If your image file name matches the gemstone's stock or report number (e.g., “123456.jpg”), the system will automatically connect the media to the diamond listing. This simplifies the process by reducing the need for manual connections.


Manage Media

To manage your media files efficiently, use the search box or Show Media filter to locate specific gemstone images. Refer above to Navigate Media Library

Disconnect Media

  1. Locate the Media File/s: Select one or multiple files

  2. Navigate to Actions and Select ‘Disconnect’

Delete Media

To delete a media file you no longer need, follow these steps:

  1. Locate the Media File/s: Select one or multiple files

  2. Navigate to Actions and Select ‘Delete’


Common Questions About Uploading, Managing, and Linking Diamond Media

1. Can I upload diamond media links from my diamond inventory file?
Yes, you can upload up to 5 image links and 5 video links in your inventory file. We recommend uploading image links directly to the Media Library for easier management.


2. Does RapNet display my diamond images if they are linked to my website?
No, images linked to external websites will not display on the diamond item pages media carousels, or Instant Inventory. Only images uploaded in PNG, JPG, or GIF format to RapNet will display properly.


3. Are uploaded image links stored on RapNet?
Yes, as long as they are in JPG or PNG format. Image links are stored in RapNet's Media Library after being pulled from the URL once.
