How to Upload Gemstones to RapNet

A quick guide for uploading single or multiple gemstones, including via FTP, with all necessary details and media.

This article walks you through the process of uploading gemstones to RapNet. Whether you're uploading one gemstone, multiple gemstones at once, or using FTP, you'll find clear instructions to ensure everything is properly formatted and includes the necessary details and media for successful gemstone listings.


Upload Single Gemstone

  1. Navigate to the Single Upload Form

  2. Fill Out the Gemstone Details

    • Complete the necessary details for your gemstone, such as type, shape, weight, primary color, measurements, and any other relevant information, including product information (availability, price, location).

    • Mandatory fields are marked with an asterisk (*). Ensure that all required fields are filled out to continue the upload process.

  3. Grading Report: If your gemstone has one or multiple lab certificates, be sure to upload them in the designated section. This helps verify the authenticity and quality of the gemstone.

  4. Upload Media:

    • Upload high-quality images or other media files of the gemstone. It’s recommended to provide multiple images from different angles to showcase the gemstone accurately.

    • You can upload up to 5 images and 1 video.

  5. Upload Gemstone & Next Steps

    • Save & Go to My Listings: After saving your gemstone, proceed directly to view and manage your active listings.

      Save & View Upload History: Save your gemstone and access a record of all previously uploaded items for easy reference.

  6. Upload your Next Gemstone!

Gemstone Media: Gemstones without media (at least one image or video) are not published on RapNet and remain unpublished in your Manage Listings Section


Upload Multiple Gemstones Using CSV

Step 1: Prepare Your Gemstone CSV File

  1. Download our CSV template:
    We offer a ready-to-use template that you can download to help you format your gemstone data. Click here to download the template file.

  2. Fill Out the Template: Complete the necessary details for your gemstone, such as type, shape, weight, primary color, measurements, and any other relevant information such as product information (availability, price, location)

  3. Use the Fields & Values Guide:
    To make sure your file has the correct information, please take a look at our Fields and Values Guide. This will help you understand the required fields and acceptable values for each column.

  4. Save the File as CSV:
    After filling in the gemstone details, save the file in CSV format. This is the only format accepted for upload.

Image File Names

Images automatically link if the file name matches the gemstone's stock number. If they do not match, add the file name to the Image field in the CSV upload to ensure the correct link.

Report File Names

Reports automatically link to the gemstone if the file name matches the Report number. If they do not match, add the file name to the Certificate Name field in the CSV upload to ensure the correct link

Step 2: Upload Your Gemstone File to RapNet

  1. Navigate to Upload Gemstone > Multiple

  2. Upload Your File:

    1. Select CSV File: Drop your CSV file into the box or click to browse and select it from your computer.

    2. Options: Choose How You Want to Upload:

      • Replace All: This removes gemstones not included in your file.

      • Add and Update: This adds new gemstones and updates existing ones.

  3. Upload File: Press Upload File to start the process.

  4. Check the Status: Go to the History tab to check upload status. You can Download the Stock Status Report to see any failed uploads and find out what needs to be corrected.

Step 3: Upload Media or Reports for Your Gemstones

To successfully upload your gemstones, images are required; without them, the gemstones will not be published on RapNet.

  1. Media Guidelines

    1. Images:

      • You can upload up to 5 images for each gemstone.

      • Acceptable image formats: .jpg, .jpeg, .png, .gif

      • Each image must be 800x800 px, up to 10M in size

      • Alternatively, you can provide image links that end in .jpg, .png, or .gif.

    2. Videos:

      • You can upload one video URL for each gemstone.

      • Accepted video formats: .mp4, .avi, .mkv, .mov, .wmv", .flv", .webm, .mpeg

  2. Report Guidelines

    1. You can upload up to 5 reports for each gemstone.

    2. Acceptable report formats: .jpeg, .png, .gif, .pdf

    3. Maximum Single File Size is 10MB.

Upload Gemstone Inventory and Images Using FTP

RapNet’s FTP feature helps you quickly and securely upload large gemstone inventory files and media. Follow this step-by-step guide to get started.

Step 1 What You Need Before You Start (FTP)

  1. Inventory or Image Files

    1. Inventory: Download our Gemstone CSV Template to format your data.

    2. Images: Accepted formats are JPG, PNG, or GIF. File names must be in English (one word only).

  2. FTP Client Software

    1. Download and install an FTP client:

    2. Recommended: WinSCP (supports automation) or FileZilla.

  3. FTP Login Details

    1. Log in to RapNet.

    2. Go to FTP Setup under your profile.

    3. Click Generate Password to create your FTP credentials> Copy the Password

Step 2: Setting Up your FTP Client

  1. WinSCP

    1. Install and open WinSCP.

    2. Click New Site and enter the following information

      1. Host: ftp.rapaport.com

      1. Protocol: FTP (Explicit FTP over TLS)

      2. Username: Your RapNet account number.

      3. Password: Your generated password.

    3. Save the site as “RapNet” and click Connect.

    4. When prompted, trust the connection by checking “Always trust this host.”

  2. FileZilla

    1. Install and open FileZilla.

    1. FTP Site: Left-hand side:

      1. Go to File > Site Manager > Click on the New Site button to add a new site

      2. Name your new site 'RapNet'

    2. FTP Connection: Righ-hand side: Click on General

      • Protocol: FTP- File Trnasfer Protocol

      • Host: ftp.rapaport.com

      • Encryption: Explicit FTP over TLS

      • Logon Type: Normal

      • Username & Password: Enter your RapNet credentials.

    3. Save and connect.

    4. Trust the connection when prompted.

Step 3: Uploading Files using FTP

  1. Navigate to the correct folder on the Remote Site (right panel)

  2. Double-click on your account number and then on the gemstone folder.

  3. Finally, open the relevant folder

    • Gemstones > Certifcates: For gemstone report files.

    • Gemstones > Images: For gemstone media files.

    • Gemstones > Lots: For gemstone inventory CSV files.

  4. Browse/drag and drop your files from the Local Site (left panel) into the folder.

  5. FTP status should display 'Successful'

Verify Your FTP Uploads:

Log in to RapNet and check:

  1. Inventory Files: Under Gemstone Upload History

  2. Media Files: In the Gemstone Image Media Library


Uploading Gemstones using an Existing FTP Connection

If you have previously connected FTP to RapNet and don't see the gemstone folder below your diamonds and/or jewelry folder, you will need to reconnect.

  1. Go to FTP setup

  2. Generate the Password again for your account

  3. Go back to your FTP and the new gemstone folder should appear.

NOTE: When dragging and dropping folders for the first time, you may be requested again for your FTP password - paste the copied password


Upload Options when Uploading Using FTP

  1. Replace All: Deletes all existing inventory and replaces it with the uploaded file.

    • File name: Avoid the word “update” (e.g., gemstone_stock.csv).

  2. Add & Update: Adds new inventory and updates existing data without deleting anything.

    • File name: Must include “update” (e.g., gemstone_stock_update.csv).


Tips for Smooth FTP Upload

  1. File Requirements:

  2. WinSCP Automation:

    • Schedule automatic uploads: Go to Commands > Keep Remote Directory up to Date.

  3. Avoid Overwriting Files:

    • In WinSCP, set file handling rules to "Overwrite if size differs."
