Whether you're listing a single item or multiple pieces via CSV, the key to successful uploading is ensuring all mandatory fields are completed accurately and your images meet the required specifications. Here's how you can upload your jewelry to RapNet:
Step 1: Prepare Your Jewelry Information
To upload jewelry, you need to provide the following mandatory details:
Stock Number: Unique identifier for the jewelry item
Jewelry Title: Concise and informative title for the item
Jewelry Description: Clear description with key details
Jewelry Type: e.g., Necklace, Ring, Bracelet
Jewelry Location: The location where the jewelry is stored
Jewelry Currency: Always in USD
Jewelry Price: The price of the item in USD
Make sure all information is accurate. The more detailed your descriptions, the easier it will be for buyers to find your jewelry.
Step 2: Prepare Jewelry Images
Minimum Image Size: 1280x1280 pixels. Smaller images won’t upload.
Image Format: JPEG or PNG files work best.
Background: Images should be on a clean, white background for clarity.
Image File Naming: Ideally, name the files with the same stock number as the jewelry item for auto-linking during the upload process.
Ensure you have at least one image for each jewelry item—this is mandatory for the item to appear in search results.
Step 3: Uploading a Single Jewelry Item
You can upload jewelry items via both the web and the app. Here’s how:
On the Web
Navigate to Jewelry > Upload Jewelry.
Choose Single Item.
Fill out the jewelry information (mandatory fields marked with a *).
Upload your images.
Select visibility options: Unpublished to hide it from RapNet members or Shareable to allow sharing on social media.
Save and confirm your upload.
On the App
Open the menu, scroll down, and tap Jewelry > Upload Jewelry.
Follow the same steps as above.
Step 4: Uploading Jewelry via CSV File
If you have multiple jewelry items to upload, using a CSV inventory file is the most efficient method.
Prepare Your CSV File: Download our CSV template to ensure correct column names and format. You can also use your own CSV file, but you’ll need to map your columns to RapNet’s fields during the upload process.
Ensure each item includes the necessary details. (See Step 1)
If your jewelry has multiple properties (e.g., metal types, gemstones), include them in separate columns. (See Step 5 below)
Use commas to separate multiple values within the same column.
Image Preparation:
Ensure each image file name matches the jewelry stock number for easy connection.
Save images as JPEG or PNG files with the correct resolution (minimum 1280x1280 pixels). Refer to this article to correctly format your jewelry images.
Upload the CSV File:
Navigate to Jewelry > Upload Jewelry > Multiple Items.
Drag and drop your CSV file or browse to select the file.
Match the columns in your file with RapNet’s jewelry fields (the first time you upload, you’ll be asked to map these fields).
Once mapped, RapNet will remember the settings for future uploads.
Fixing Invalid Values:
If any data is missing or incorrect, RapNet will display an error file to help you correct it before completing the upload. (See Step 7)
Refer to the RapNet Jewelry Fields Dictionary for guidance.
Step 5: Listing Jewelry with Multiple Properties
Jewelry can have multiple properties, such as metal types, gemstones, or categories. Here's how to handle them:
Single Item
Multiple Properties via CSV
If you have multiple gemstones or metals, you can list them in separate fields within the item’s entry.
For example, a piece with both a diamond and ruby will have two rows—one for each gemstone.
List each gemstone, metal, or category in separate rows to correctly map their properties in the upload.
Include all applicable properties like lab report numbers or carat weights for each gemstone.
Adding Multiple Gemstones
Let’s say you’re uploading a jewelry item that contains multiple gemstones, each with its specific details:
Example: The item includes a 1ct pear-shaped red ruby, it also has 25 small round diamonds and the main gemstone is a diamond with a grading report and report number.
In this case, you need to provide a separate row for each gemstone, along with its corresponding details. Here’s how:
Enter the first gemstone (e.g., Ruby) on the same row as the rest of the jewelry item information. Fill in all relevant gemstone details (shape, color, carat, etc.) in the correct columns.
Insert a new row directly below, using the same stock number.
In this new row, enter the second gemstone (e.g., Diamond) and fill in the details specific to that stone, including lab and report number if applicable.
Important: Always use the same StockNumber
for all rows representing the same jewelry item.
Adding Multiple Metals or Properties Without Specific Details
If the item includes multiple properties (like metals or general features) that don’t have individual fields, list them in one cell, separated by commas.
Example:
MetalType = Yellow Gold, White Gold
JewelryProperty = Handmade, Vintage, One-of-a-kind
Adding Multiple Images to One Jewelry Item
If your image filenames match your jewelry stock numbers:
You do not need to enter anything in the "Image File Name" column.
RapNet will automatically match the images to the correct items.
If your image filenames do NOT match your stock numbers:
Locate the Image File Name column in the CSV.
Enter the correct image file name for each item (e.g.,
IMG_1234.jpg
).

Step 6: Offer Multiple Delivery Locations & Payment Terms
Sellers can offer delivery from the jewelry's location to multiple delivery locations, with individual prices, terms, and delivery times based on the delivery location.
Example:
Listing Multiple Delivery Locations & Payment Terms via CSV
List Delivery Locations: In the CSV, add new rows for each delivery location with corresponding delivery time, terms, and pricing.
Price Adjustment: Set different prices based on the delivery location (e.g., different prices for shipping within the US vs. shipping internationally).
Step 7: Fixing Invalid Jewelry Lots & Understanding the Jewelry Error File
If your inventory file contains missing or invalid values, RapNet will successfully upload only the valid jewelry lots. The items with issues will be suppressed and won’t appear online until fixed.
How to Fix Jewelry Upload Errors
To help you identify and correct issues, RapNet generates a downloadable Jewelry Error File.
You can choose to fix errors:
Immediately, during the upload process,
Or later, after the valid items have been uploaded.
What is the Jewelry Error File?
The Jewelry Error File is a copy of your original CSV file, with six extra columns added to help you identify and fix problems. These columns include:
Upload date and time
RapNet account used
Original file name
Specific reason for the error
You’ll also notice markers in the cells with issues:
* = Missing mandatory value
*value = Invalid value entered
Example: A * in the CaratWeight field means the value is missing. A *abc means "abc" is an invalid value for that field.
Important Notes about the Error File
The error file is only available once for download — save it as soon as you access it.
The file is cumulative, meaning it collects errors from all uploads until it is downloaded. After you download it, the slate is cleared for new error tracking.
Where to Find & Download the Error File
You can download the Jewelry Error File:
Option 1: During the Upload Process
Upload your file
Click Review Values
Skip the online fix and click Continue to Import File
On the Import Summary page, click Download Error File
Option 2: Later on the Upload Page
Tips for Success
Use consistent Stock Numbers across all rows for the same item.
Use commas to separate multiple values in a single cell if needed (e.g., Diamond, Ruby in GemstoneType).
Always check for typos or special characters that may disrupt parsing.
Images:
Items without images will not appear in search results.
Upload images with exact matches to Stock Numbers for auto-linking.
CSV Accuracy: Always ensure your CSV matches RapNet's fields and values to avoid errors.
Error File: If any items are rejected due to missing or invalid data, download and review the error file to fix and re-upload.
