How to upload diamond inventory file with white and fancy color diamonds, via RapNet XL, the RapNet website or Polyplus or Certnet

This article explains how to upload a diamond inventory file via RapNet XL or the RapNet website.

Step 1: Prepare & save the diamond inventory file

You can upload your diamond inventory file via RapNet XL or via RapNet.com.

  • If you are uploading using RapNet XL, your diamond inventory can be formatted in either XL or CSV format.

  • If you are uploading via RapNet.com, your diamond inventory must be formatted in CSV.

  1. Decide your upload method:

    1. RapNet XL: Download RapNet XL > Choose 'New Stock File' or use your own file.

    2. RapNet.com: Download RapNet's CSV template or use your own file.

  2. Fill out the diamond details:

    1. The first line of the file must be the Header/Title of the fields you are uploading.

    2. Your column headers and diamond data must match the RapNet Accepted Field Headers and Values for guidance

    3. Fields may be placed in any order

  3. Save your file:

    1. Save in CSV, XLS, or XLSX format if you are uploading via RapNet XL.

    2. Save in CSV format only if you are uploading from the RapNet website.


Step 2: Upload diamond inventory to RapNet

  1. Upload via RapNet XL: Watch this video to find out more about RapNet XL and continue reading

    1. RapNet XL tab > Upload to RapNet

    2. Choose either:

      1. Replace All: Lots not included in the upload file are removed from RapNet.

      2. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file are untouched.

    3. An Upload Progress pop-up shows the status of the upload and highlights any diamonds that failed to upload.

  2. Upload via RapNet website: Watch this video and/or continue reading

    1. Login to RapNet > Diamonds > Upload Diamonds > Multiple

    2. Drop or Browse your CSV file

    3. Choose either:

      1. Replace All: Lots not included in the upload file are removed from RapNet.

      2. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file are untouched.

    4. Click Upload File > History tab shows the status of your upload.


Upload fancy colored diamonds to RapNet

The process is exactly the same as white diamonds, just you fill out the fancy colors in separate fields to the D-Z color diamonds.

There are 3 fields of fancy color information to fill out when uploading a fancy color diamond to RapNet.

  1. Fancy Color: This is the main body color and is usually the final word in the color description (grade) on the report. This field must contain one color (e.g. ‘Yellow’ or ‘Y’). Fancy Color values must be entered in the column called ‘Fancy Color’ when uploading to RapNet.

  2. Fancy Color Intensity: This is the intensity of color the diamond holds. Each diamond can have only one intensity. Intensity values must be entered in the column called ‘Fancy Color Intensity’ when uploading to RapNet. See the example below.

  3. Fancy Color Overtone: This field is for the secondary color or colors (also known as modifiers). Fancy Color Overtone values must be entered in the column called 'Fancy Color Overtone' when uploading to RapNet.

We accept all colors/overtones/hues in the overtone column.


Upload using Polypus and Certnet Format

You can upload diamonds via Polyplus or Certnet formats from the Upload multiple diamonds screens.
