These are our accepted diamond upload file formats

Upload in 2 Steps:

Step 1: Prepare your diamond inventory file ready for upload

  1. Prepare your all diamond data on XL. Make sure that
    - Your column headers and diamond data match the RapNet Accepted Field Headers and Values.  Click here to reference
    - The top row of your file contains the Field Headers, no empty rows
    - Helpful tip: If you uploading with RapNet XL, click on New Stock File for an upload template, otherwise download our CSV template here.
  2. Save your file
    - In CSV format only if you are uploading from the RapNet website
    - In CSV, XLS or XLSX format if you are uploading via RapNet XL

Step 2: Upload to RapNet

Upload with RapNet® XL

You will need to download the RapNet® XL add-on first!

  1. Open an Excel file> RapNet XL tab > Upload to RapNet
  2. Choose either:
    a. Replace All: Lots not included in the upload file are removed from RapNet
    b. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file remain listed on RapNet
  3. An Upload Progress pop up shows you the status of the upload and highlights any diamonds that failed to upload


Upload from the RapNet website using a CSV file

Remember to save your stock file in CSV format

  1. Login to RapNet > Diamonds > Upload Diamonds > Multiple
  2. Drop or Browse your CSV file
  3. Choose either:
    a. Replace All: Lots not included in the upload file are removed from RapNet
    b. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file remain listed on RapNet
  4. Click Upload File
  5. The History tab shows the status of your upload.  Click here to understand more about your upload history

Upload Rules:

  • All types of diamond treatments MUST be specified in the Treatment field
  • If headers are included, fields may be placed in any order
  • The first row should contain the field headers, fields you do not use can be omitted
  • White diamonds under 4ct must be uploaded with $/ct or discount.
  • Fancy colored diamonds must be filled in their specially assigned fields and not in the D-Z field.
  • Your listings expire every 8 days. If all the stock remains the same, click here to refresh them or upload a new Excel file.
  • Numeric fields should not include commas, $, or % (i.e. in the price field $1,000 is not acceptable, instead type 1000).
  • We do not allow lab grown diamonds to be listed on RapNet.
  • For your diamond to be listed as graded diamond, you must list both Lab and Report number.  By entering the lab name and certificate number when you upload your diamonds most GIA, IGI and HRD reports will be automatically pulled into the listing (may take up to 48 hours after you upload).
  • We do not allow EGL graded diamonds to be listed on RapNet. Read here for more information on this.
