Uploading diamonds with grading reports

If you list the Lab and certificate number when you upload your diamonds, we will automatically pull most GIA, IGI and HRD reports and display them on RapNet for you. Sometimes this can take up to 48 hours after you upload.

Wherever it is not possible for us to automatically download a diamond report, you can upload a copy of the certificate to RapNet, either on a single diamond listing, or bulk upload files through the website.


Upload and attach a Certificate to a single diamond listing

  1. Go to the Laboratory website to download and save the certificate image file(s) in either PDF or JPG formats (JPG recommended)

  2. Log in to RapNet > Manage My Diamonds >

  3. Find your Diamond > Edit > Report Files > Click Browse to Upload the Certificate image


Upload and attach one or multiple certificates using an inventory stock file

  1. Go to the Laboratory website to download and save the certificate image file(s) in either PDF or JPG formats (JPG recommended).
    You can upload certificate image files one by one or save multiple files to a zip folder and upload just that one zip folder. See notes below.

  2. Go to your diamond inventory file:

    • Find field name CertificateFilename and type in the name(s) of the saved certificate image(s).

    • To match automatically to the diamond, the file name should be either the certificate number, the stock number, otherwise the file name must match exactly and you cannot enter (#) in the name or it will not connect properly.

  3. Upload diamond inventory file as usual. Click here for guidance.

  4. Go to https://trade.rapnet.com/#/certificates > Browse and upload certificate image file(s).

  5. A confirmation screen displays which certificates connected to which diamond listings.


Upload Multiple Certificate Images in ZIP folder

  • We accept zip files up to 100 MB, but we recommend splitting files up in smaller files of up to 10 MB each


Image file recommendations

  • Files to be around 300 KB but no larger than 2 MB

  • Set scanner settings

  • 150 DPI

  • Save as JPG - 60% quality


Listing Diamonds as No BGM

You must upload values to both the Shade and Milky fields.
Only diamonds with the value None will be considered as No BGM diamonds and will be included in diamond results when members select No BGM diamonds in the search form.

Leaving the columns blank does not mean your diamond has no shade or is not milky. It just means you haven’t specified its value.


Listing Diamonds as Eye Clean

Add a column to your upload called “Eye Clean.” Acceptable values are Yes, No and Borderline. Input the appropriate value in the Eye Clean column.

Many members are using the Member Comment field to communicate additional information (including Shade and Eye Clean) about their diamond. This is fine, but remember, if you don’t upload the values to the "Shade" and "Milky" fields, the diamond won’t show as No BGM or Eye Clean. Remember to upload the values to the "Shade" and "Milky" fields too.

NOTE:

  • Many members use the Member Comment field to communicate additional information (including Shade and Eye Clean) about their diamond. This is fine, but remember, if you don’t upload the values to the Shade and Milky fields, the diamond won’t show as No BGM or Eye Clean.

  • Refer to https://technet.rapaport.com/Info/LotUpload/FieldsAndValues.aspx for Field names and values when uploading to RapNet.


Listing matched pairs diamonds

You can choose to list your matched diamond pairs as separable as well, meaning that you don’t mind to sell them as a single unit or together.

Matched pairs that are not separable on RapNet do not filter through to Instant Inventory diamond feed.

Uploading matched pair of diamonds in single upload

  1. Enter the diamond's Stock #

  2. Enter the stock number of the corresponding diamond (in the pair) under field name "Matched Pair’ field

  3. Select "Is Pair Separable"

    1. Grayed out implies "No" which means that the diamond will only show up when searching for pairs.

    2. Moving the slider to blue implies "Yes" which means that the individual diamonds will show up in single diamond searches as well as pair searches.

If diamonds are a pair and they are marked NOT separable they will NOT show up in single diamond searches.


Uploading matched pair of diamonds in multiple upload: RapNet XL or a CSV stock file

  1. Enter the Stock # for each stone.

  2. Enter the stock number of the corresponding diamond (in the pair) under field name "Pair Stock #”.

  3. Choose to list the matched pairs as separable as well, meaning that you don’t mind to sell as single unit or together.

  4. Go to field name "Is Matched Pair Separable" and set value to either ‘yes’ or ‘no’.

    1. "Yes" implies that the individual diamonds will show up in single diamond searches as well as pair searches.

    2. "No" means that they will only show up when searching for pairs.

If diamonds are a pair and they are marked NOT separable they will NOT show up in single diamond searches.

NOTE:


Diamond Availability

Sellers can give their diamonds 3 statuses:

  1. G = Guaranteed available. This means the seller has immediate access to the diamond. City/State/Location must be specified.

  2. STPS = Diamond is available Subject to a Prior Sale. This is a disclaimer saying that the diamond is available conditional upon ("subject to") the goods not yet sold to another party.

  3. M = Diamond is currently out on memo. This means that the diamond has been lent to another dealer/jeweler who's trying to match the diamond to a potential buyer. It is not sold yet.

Sellers can also set their diamonds to NA [not available]. This results in the diamond not appearing in search results, but will still be listed in 'Manage my Listings' page.
