Step 1: Prepare images and diamond inventory file on a CSV or XL file

Step 1: Prepare images & diamond inventory file

  1. Diamond Images: Save & name image files.

    1. Image file names matching the diamond's stock or certificate number auto-connect to the correct diamond.

      1. To connect multiple images to a single diamond, suffix each saved file name with either a dash or underscore followed by a number.

        For example:

        • Diamond stock number: ABC123

        • Image file names: ABC123_1, ABC123_2, ABC123_3 or ABC123-1, ABC123-2, ABC123-3

    2. If the image file name/s don't match: go to field name Diamond Image field in the CSV file & type in the diamond file name/s, [see screenshot] or manually connect images to jewelry after uploading. Read more here.

  2. Diamond information: fill out diamond details

    1. RapNet XL: Download RapNet XL > New Stock File

    2. Own stock file: Download RapNet's CSV template or use your own file.

      1. Refer to RapNet Accepted Field Headers and Values for guidance

      2. Fields may be placed in any order

      3. Your column headers and diamond data must match the RapNet Accepted Field Headers and Values.

  3. Save your file:

    1. Save in CSV format only if you are uploading from the RapNet website.

    2. Save in CSV, XLS or XLSX format if you are uploading via RapNet XL.


Step 2: Upload diamond inventory file & images to RapNet

  1. Upload diamond inventory file via RapNet XL or RapNet website.

    1. via RapNet XL: RapNet XL tab > Upload to RapNet

      1. Choose either:

        1. Replace All: Lots not included in the upload file are removed from RapNet.

        2. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file are untouched.

      2. An Upload Progress pop up shows status of the upload and highlights any diamonds that failed to upload.

    2. via RapNet website: File must be saved as CSV > Login to RapNet

      1. Diamonds > Upload Diamonds > Multiple

      2. Drop or Browse your CSV file > Choose either:

        1. Replace All: Lots not included in the upload file are removed from RapNet.

        2. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file are untouched.

    3. Click Upload File > History tab shows status of your upload.

  2. Upload images:

    1. Go to RapNet's Media Library > Upload New Media.

    2. Drag & Drop or Browse a single image or zip folder with images:

RapNet® XL

Apple Mac and Open office do not support RapNet XL. Members using either software, should upload via the RapNet website. Click here for RapNet XL guidance.



Upload fancy colored diamonds to RapNet

The process is exactly the same as white diamonds, just you fill out the fancy colors in a separate fields to the D-Z color diamonds.

There are 3 fields of fancy color information to fill out when uploading a fancy color diamond to RapNet.

  1. Fancy Color: This is the main body color and is usually the final word in the color description (grade) on the report. This field must contain one color (e.g. ‘Yellow’ or ‘Y’). Fancy Color values must be entered in the column called ‘Fancy Color’ when uploading to RapNet.

  2. Fancy Color Intensity: This is the intensity of color the diamond holds. Each diamond can have only one intensity. Intensity values must be entered in the column called ‘Fancy Color Intensity’ when uploading to RapNet. See example below.

  3. Fancy Color Overtone: This field is for the secondary color or colors (also known as modifiers). Dancy Color Overtone values must be entered in the column called 'Fancy Color Overtone' when uploading to RapNet.

Upload using Polypus and Certnet Format

You can upload diamonds via Polyplus or Certnet formats from Upload multiple diamonds screen.
