Accepted diamond inventory file formats


Note: Apple Mac and open office do not support RapNet XL. Click here for RapNet XL requirements.

Members using Mac or Open Office should upload via the RapNet website.


Upload diamonds to RapNet in 2 Steps:

Step 1: Prepare your diamond inventory file

  1. Prepare your all diamond data on XL.
    Make sure that:

    1. Your column headers and diamond data match the RapNet Accepted Field Headers and Values.  Click here to reference.

    2. The top row of your file contains the Field Headers, no empty rows.

      1. Fields may be placed in any order.

      2. Helpful tip: If you uploading with RapNet XL, click on New Stock File for an upload template, otherwise download our CSV template here.

  2. Save your file:

    1. In CSV format only if you are uploading from the RapNet website.

    2. In CSV, XLS or XLSX format if you are uploading via RapNet XL.

Step 2: Upload to RapNet

  1. Upload diamond inventory file via RapNet XL or RapNet website.

Upload with RapNet® XL

You will need to download the RapNet® XL add-on first!

  1. Open an Excel file> RapNet XL tab > Upload to RapNet.

  2. Choose either:

    1. Replace All: Lots not included in the upload file are removed from RapNet.

    2. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file remain listed on RapNet.

  3. An Upload Progress pop up shows you the status of the upload and highlights any diamonds that failed to upload.


Upload from the RapNet website

Your inventory file must be saved in CSV format in order to upload from RapNet website.

  1. Login to RapNet > Diamonds > Upload Diamonds > Multiple

  2. Drop or Browse your CSV file.

  3. Choose either:

    1. Replace All: Lots not included in the upload file are removed from RapNet.

    2. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file remain listed on RapNet.

  4. Click Upload File.

  5. The History tab shows the status of your upload.  Click here to understand upload history.



Uploading Fancy Colors to RapNet

The process is exactly the same as white diamonds, just you fill out the fancy colors in a separate fields to the D-Z color diamonds.

There are 3 fields of fancy color information to fill out when uploading a fancy color diamond to RapNet.

  1. Fancy Color: This is the main body color and is usually the final word in the color description (grade) on the report. This field must contain one color (e.g. ‘Yellow’ or ‘Y’). Fancy Color values must be entered in the column called ‘Fancy Color’ when uploading to RapNet.

  2. Fancy Color Intensity: This is the intensity of color the diamond holds. Each diamond can have only one intensity. Intensity values must be entered in the column called ‘Fancy Color Intensity’ when uploading to RapNet. See example below.

  3. Fancy Color Overtone: This field is for the secondary color or colors (also known as modifiers). Dancy Color Overtone values must be entered in the column called 'Fancy Color Overtone' when uploading to RapNet.

We accept all colors/overtones/hues in the overtone column.


Uploading using Polypus and Certnet Format

You can upload diamonds via Polyplus or Certnet formats from Upload multiple diamonds screen.
